RealRun / Playbooks
Inbox triage agent
Sample playbook, drafted from an admin agent we run daily. Test record coming with the paid version.
What it does
Sorts new email into Act, Waiting, Read later, and Archive. It pulls out deadlines and drafts replies, but never sends them.
You need
- An agent with read access to email (Gmail or Outlook connector)
- A notes file or doc it can write to
- A daily schedule (morning works best)
Steps
- Set the rules. Tell the agent who matters (family, boss, school, bills) and what can always be archived (promos, receipts you don't track).
- Daily pass. Look at mail since the last run. For each thread, decide Act, Waiting, Read later, or Archive, and give a one-line reason.
- Pull out dates. Bills, renewals, and expirations go onto a running timeline with the due date and source email.
- Draft, don't send. For Act items, write a reply draft. A human approves every send.
- One summary. Send a single short digest: 3-5 Act items first, then counts for everything else.
- Ask once. Open questions get one yes/no ask. If there's no answer, drop it instead of nagging.
Prompt starter
Review my email since [last run]. Sort each thread into Act / Waiting / Read later / Archive with a one-line reason. Add any due dates to my timeline doc. Draft replies for Act items, but do NOT send anything. Give me a digest with Act items first, no more than 10 lines.
Common failures we've seen
- Marketing emails written to look like bills get marked Act. Fix it with a sender allowlist.
- Digests grow too long. Fix it with a hard line limit.
- The same item gets asked about every day. Fix it with the "ask once" rule.
